Job Structure and Titling

Creating a modern, relevant job structure is at the heart of CPM. It will build a foundation to enable programs and initiatives for recruitment, total rewards, equity and inclusion, and professional development. A job structure is the framework for how we organize jobs into groups that share common functional responsibilities and similar types of education, experience, and skill requirements. It impacts the way we hire, pay, develop, and advance our workforce. An effective job structure enables transparency and consistency which enables effective recruitment, compensation, and professional development.

Within a job structure, each job is assigned to the career stream, job level, job family group, and job family that best reflects the job’s work requirements. Combined, these aspects determine the job’s classification and title. 工作结构及其要素有助于帮助员工了解他们的角色如何融入大学社区,以及发展路径如何帮助他们实现职业目标.

Career Streams

Career streams are a very high-level way of categorizing jobs with distinct similarities in the nature of work being performed. Our career streams include:

Clinical: Technical-level

May have input or impact on clinical processes, programs, services and policies. Works to deliver day-to-day objectives with impact on achievement of results for the clinical team or department.

Clinical: Professional-level

Associate

The associate career stream consists of roles that are Individual contributors who support operational, functional or business strategy through tactical support of daily activities (clerical, administrative, technical). The majority of time is spent in the delivery of front-line services or activities, typically under direct supervision.

Professional

The professional career stream consists of roles that are individual contributors focused on executing operational, functional, and/or business strategy with a range of responsibilities in a professional discipline or specialty. The majority of time is spent on the delivery, implementation, or design of processes, programs, and policies using specialized knowledge or skills typically acquired through advanced education. May lead or organize the work of other lower level employees or manage processes and program with up to 2 direct reports.

Leadership

The leadership career stream consists of roles that are in leadership, management or supervisory roles focused on operational, functional and/or business strategy and activities within a specified area of responsibility. The majority of time is spent planning, prioritizing and/or directing the work/responsibilities of teams/employees. Goal achievement is typically accomplished through strong management of others to ensure operational, functional and/or University results.

Senior Leadership

The senior leadership career stream consists of roles that focus on overall functional and business strategies and goals. The majority of time is spent strategizing and setting the vision of the University, job families and/or divisions. These roles set broad goals and ensure University results are met through delegation to top-level management.

Job Levels

Job levels group jobs within a similar level of responsibility based on a series of leveling factors, resulting in 12 levels across the organization. These leveling factors include:

Organizational Impact

The nature and scope of influence the job has on its area of responsibility.

Communication & Influence

The nature of communication the job is responsible for and the level of influence it requires.

Innovation & Complexity

The degree to which the job needs to identify and devise solutions to problems and the level of autonomy to make decisions.

Leadership & Talent Management

The level of responsibility for people development, including supervision, training, coaching, and performance management.

Knowledge & Experience

The level of expertise required to fulfill job responsibilities as defined by minimum levels of formal education and/or work experience.

Job family groups are broad categories of work with a similar functional occupation and that require similar knowledge and skills.

Job families describe specialized functions and are used to further group similar jobs together within a larger job family group.

Academic & Student Services

Provides support to enhance the academic environment and experiences of students and faculty; including academic administration, program management, faculty development, academic advising, and all other services that support undergraduate and graduate students and academic roles of the University.

RegistrarRoles responsible for course information and scheduling as well as degree audits, transfer approvals, graduation clearance, and related academic record services and requirements.
Residential LifeRoles responsible for the administration of on and off-campus University housing. Plans and develops programs and activities to enhance the experience of residents.
Student EngagementRoles responsible for contributing to student retention and strengthening the overall student experience. Advise, monitor student progress, and create or implement programs focused on student engagement.
Administration

Project ManagementRoles responsible for oversight and participation in defined projects to include development of project goals, timelines and resource requirements, leading or serving on project teams, and/or tracking of project objectives and progress against deadlines and problem resolution.

Provides high-quality medical care and experience to patients. Facilitates care using a wide range of practitioners for which specialized training and / or education is required. Responsible for the day-to-day clinical operations. Responsibilities may include extended and expanded skills, experience and knowledge in assessment, planning, implementation, diagnosis and evaluation of the care required.

Nurse MidwifeRoles responsible for providing OB/GYN care to women with a focused specialty in obstetrical care including: antepartum, labor and delivery and postpartum periods. Support the education and counseling of families, health promotion and prevention.
Physician Assistant/Nurse PractitionerRoles responsible for managing patients overall care, including ordering, performing, and interpreting diagnostic tests such as lab work and X-rays. Diagnose and treat acute and chronic conditions, prescribe medications and other treatments.
Advancement

Advances the University’s mission through building and fostering life-long relationships and engagement with alumni, parents, and friends. Implements fundraising and other programs that provide financial support to the University from individuals, corporations and foundations.

Coordinates with major gift fundraisers to convert annual donors to major gift prospects. Health Education & OutreachRoles responsible for managing, providing, coordinating, and supporting health education and community outreach. Patient ExperienceRoles responsible for providing support to patients, their families, and physicians in addressing medical and social concerns. May include educating patients and families to make informed health care decisions, providing guidance to members regarding managing health conditions and health coaching and consultation, supporting health promotion and disease prevention and care management services, communicating with primary care or physicians regarding patient's health care status.
PharmacyRoles responsible for the activities associated with man-made and natural drugs, medical devices, instruments and hygiene materials used in medical treatments. Perform clinical research and pharmaceutical formulations, prepare drugs, elaborate dosing regimens, package, prepare dispensing information and distribution.
PolysomnographyRoles responsible for analyzing, monitoring and recording physiologic data during sleep and wakefulness, providing diagnostic evaluation for patients suspected of having sleep disorders. Prepares patients for both night polysomnographic recordings and multiple sleep latency tests and maintenance of wakefulness tests. Analyzes and scores the sleep study for interpretation.
QualityRoles responsible for activities related to medical quality programs. Activities may include reviewing, researching, and responding to customer complaints related to the quality of medical care and service, recommending and/or implementing process improvements, and providing training on managed care principles, systems, policies, and procedures.
Radiation OncologyRoles responsible for providing the application of therapeutic X-rays, protons and radioactive substances to patients for simulation and treatment of benign or malignant tumors and pain.

Writes, edits, and creates content to drive audience engagement across a variety of print and digital platforms. Conducts media relations activities, including managing issues and crisis response.
Creative OperationsRoles responsible for producing inspiring and effective creative assets to support integrated marketing communications strategy. Shapes the brand’s look, feel, and voice to appeal to and engage diverse audiences and stand out from competitors. Produces assets across all matter and media including print, digital, video, audio, and photography.
Event ManagementRoles responsible for conceptualizing, organizing, and executing logistics for one-time or recurring events to support University initiatives.
MarketingRoles responsible for planning, creating, and executing strategic and measurable marketing and advertising campaigns to expand the University’s reach and potential customer pipeline. Establishes overall brand strategy for the University, including defining the brand’s positioning, values, and messaging. Drives revenue for specific lines of business. Uses CRM tools to manage customer interactions, gather feedback, and tailor messaging to individual preferences and behaviors. Oversees market research to inform marketing strategies and product development. Analyzes campaigns against key performance indicators.
Compliance, Legal & Risk

Consults and provides guidance to establish a proactive culture regarding compliance with legal, institutional, and regulatory requirements and protection from legal liability, property loss, illness or injury.

Facilities ManagementRoles responsible for planning, organizing, directing, and controlling the activities and staff involved in the design, construction, coordination, modification, maintenance, and administration of institution facilities and equipment.
Facilities Project ManagementRoles are responsible for specialized oversight of the coordination, design, communication, and delivery of construction and other facilities-related projects. Oversees project scope, schedule, budget, estimate, close out, and quality assurance.
Mail and Courier ServiceRoles responsible for distribution of incoming and outgoing mail and/or packages for students and employees.
MaintenanceRoles responsible for building maintenance which may include HVAC; Electrical, Plumbing and repairs.
Real Estate ServicesRoles responsible for property and real estate, including buy and sell strategies and transactions, as well as lease management
Security & SafetyRoles responsible for promoting the safety of the University community by providing emergency services, fire safety, security for faculty, students, and staff and global security efforts. Also includes roles responsible for the protection of life and property as well as the prevention and detection of crimes on-campus.
TransportationRoles responsible for overseeing the logistics, administration and promotion of matters related to transportation including but not limited to: employee and event parking, shuttlebus services, carpool, public transportation and bicycle parking.
Utilities ManagementRoles are responsible for the production, distribution and efficient use of the campus’ energy and utility needs. Operates and controls energy control systems to provide safe and comfortable environments within organization’s buildings.
Financial Services

Provides services pertaining to the collection, investments, procurement, budget planning, accounting, financial analysis, reporting, and all aspects of financial functions. Ensure compliance with university policies, and state and federal regulations.

Staff Titling Guidelines

Structural Alignment of Job Titles

The University of Rochester’s job structure is made up of five career streams and twelve job levels. Both elements play a role in determining the appropriate system job title for a job.

Career streams are a very high-level way of categorizing jobs with distinct similarities in the nature of work being performed.

Academic Leadership Titling

Defined as staff-based roles across the various schools that include either “Dean” or “Vice Provost”. Use of these titles requires support from the Office of the Provost and is intended for roles providing academic leadership duties, and areas of responsibility in the way of oversight of curricular, instruction, student enrichment, research affairs, or oversight of academic programs.

School or program specific titling is generally applied as a business title.

Application of Business Titles

Business titles provide an enhanced level of definition to a position’s assigned system job title. They can be used in email signatures, communications, department websites, ID badges, job postings, and business cards.

Business titles require approval from Human Resources, must be maintained within HRMS, and must meet the below criteria.

Business titles should:

  • Match the position description
  • Reflect the field or discipline
  • Be used if greater clarity is needed than the system title provides
  • Be in accordance with the school or program specific titling framework
  • Be consistent with market driven, professional, and/or industry practice for jobs with comparable job responsibilities and scope
  • Be clear about a position’s internal and external business interactions

Business titles cannot:

  • Misrepresent the University or the authority of the position
  • Duplicate a title that is used in a different field, discipline, or career level
  • Be overly granular and wordy
  • Represent a level higher than the job profile’s alignment in our structure
  • Be used unless necessary for the success of the job function

For the purpose of ensuring proper evaluation of positions, business titles will be applied on top of system titles. System titles will remain the primary alignment of each position and allow for the effective evaluation of pay both internally and externally, and ensure staff have a consistent line of sight to career development opportunities across the University.

In some instances, a department may use “Associate” in place of or in addition to “Assistant”, such as an Associate Director.

Requests for approval of a business title should be submitted by the leader of the position, with support from the appropriate Dean/Director/Division Leader, to the HR Business Partner, in accordance with the Business Title Request Process.

After the initial CPM structure implementation, it is the responsibility of the department to formalize and maintain approved Business Titles in HRMS via the PAF process.

Business titles on job postings

Job openings can be posted with business titling. However, postings must include the job code and job level for the purposes of understanding alignment back to the University job structure.
